Event Terms and Conditions
When you make a booking to attend Choir Camp (the Event), you are agreeing to
all these Terms and Conditions which create a binding legal agreement between
you and Mama Kin Spender Pty Ltd:
1. Your HealthWe’re really looking forward to seeing you at the Event. It’s important to us, our staff and all other participants that you stay safe and well and are able to participate meaningfully in our program. It is your responsibility to let us know in advance about all relevant physical and mental health issues that could affect your participation in, and enjoyment of the program. We may ask you to provide advice from your health professional confirming your fitness to participate.
If we consider that your physical or mental condition is such that your safety, or the safety of other participants, could be compromised, we may ask you to withdraw from participation in particular activities, or the Program as a whole. If you require medications or pharmaceuticals (including inhalers and EpiPens) it is your responsibility to bring, maintain and administer these while you are at the Event in accordance with your doctor’s advice. If you are feeling unwell or are unsure about travelling, please get professional advice before coming to the Event. There is no doctor, psychologist or nurse at the Event. The closest hospital is approximately 35 minutes away by car. If you need urgent medical attention or hospitalisation, we will call an ambulance. You are responsible for all costs associated with any treatment required.
The Event site including the accommodation is wheelchair accessible however, it is a rustic bush location with unsealed tracks and paths. Some optional aspects of the program include movement and dance sessions that may be difficult for participants with reduced mobility.
The Event site is located in a beautiful bush setting and there are a variety of activities that are possible in free time. These activities are not part of the formal program and you accept all risks associated with any extra curricular activity that you choose to do during the Event. If you choose to self camp at the Event site rather than stay in the dormitory accommodation, you must provide appropriate equipment and do so at your own risk, understanding that this involves risks such as adverse weather, insectbites and snakes.
2. COVID-19If you display symptoms at the Event, we may ask you to undertake a RAT under our supervision and you agree to comply with any such request. If you
test positive at the Event, you will not be permitted to continue with the Program and must leave the Event site as soon as possible. You agree to isolate until your
departure.
3. Deposits and PaymentsYour place at the Event is not confirmed until you have booked and paid in full.
The ticket price includes all programmed activities and meals as well as dormitory style accommodation or self camping at the event site.
You may be able to purchase additional accommodation packages which are subject to availability and must be paid in full at the time of booking. We reserve
the right to provide alternative accommodation if your choice is not available.
4. Refund and Cancellation Policy All cancellations must be in writing. If you change your mind once your place is confirmed, your Event ticket is non-refundable. There is no discount or refund for activities you do not participate in. We hope this doesn’t happen but it’s possible that we may need to cancel the Event. We reserve the right to do so if we think it necessary. If so, we will either refund your entire payment or transfer your booking to another date.
Tickets are not refundable. However, we do understand circumstances change and we allow ticket transfers. Tickets transfers must take place 21 days prior to the event start date.
If the event is sold out we may have a waiting list we can offer tickets to. In the case that your ticket is matched with someone on our waiting list we will refund your purchase less 10% of the original purchase price.
5. Travel Arrangements You are responsible for your own travel arrangements to and from the Event. There is free parking available onsite; however, you park at your own risk and we recommend that you keep your vehicle locked at all times. We are not responsible for any damage or injury you may sustain as a driver or passenger in any vehicle during the Event.
6. Venue and AccommodationWe plan to conduct the VICTORIAN Choir Camp Event at Kangaroobie, Princetown VIC https://www.kangaroobie.com/ and the WA Choir Camp Event at JarrahFall, Dwellingup WA https://jarrahfall.com.au/ both offer a choice of dormitory style accommodation (included in the ticket price but you must bring your own pillow and bedding) or camping (you must provide all camping equipment). All bathrooms are shared.
If, for any reason, either venue becomes unavailable, we will do our best to arrange an alternative venue and will notify you accordingly. We will endeavour to provide you with your choice of accommodation; however, we reserve the right to provide alternative accommodation if your choice is, or becomes, unavailable.
7. Meals All meals are provided. Most meals will be vegetarian. We request that you notify us of any food intolerances or allergies in advance; however, we cannot guarantee to cater for all allergies and intolerances. It is your responsibility (which may include bringing food with you) to ensure that you have access to suitable meals.
You are not permitted to bring any alcohol to the Event. There will be a basic bar on site where you can purchase alcoholic drinks. It is your responsibility to drink
responsibly and we reserve the right to refuse to serve any person if we consider it responsible to do so.
8. Program ChangesWe will arrange qualified and experienced facilitators to provide a rich and inspiring program. We reserve the right at any time to alter the Program or use different facilitators to those profiled in our marketing.
9. ValuablesYou are responsible for the security of your vehicle, personal possessions and valuables. Neither we nor the Event venues have any responsibility for any damage, breakage, loss or theft at the Event. You understand that the nature of the accommodation is such that it is not possible to lock or secure dormitory accommodation or tents.
10. Code of Conduct We work to create an inspiring and culturally safe space for personal development in a collegiate group environment. You must act with respect and courtesy toward all Event staff and every other participant at all times. We do not tolerate aggression, bullying, discrimination or other anti-social behaviour in any form. If we consider that your behaviour fails to meet this standard or is compromising our ability to deliver the program, we reserve the right to require you to cease participation in the Event immediately. In those circumstances, you must leave the Event straight away at your own expense. There is no refund of any portion of the Event fees.
During the Event, you agree to comply with all reasonable instructions and directions issued by us or our authorised representatives (including our facilitators
and Event staff).
11. Film and Photography You authorise us to photograph and to make audio or audio-visual recordings of your participation at the Event. You agree that we may use any photos or recordings of your participation in any form or media and for any purpose throughout the world in perpetuity. You agree that we are not required to name or attribute you when we use that material.
12. Privacy We are committed to respecting the privacy of your personal information. Personal information you provide to us will only be used to facilitate your participation in the Event, to contact and communicate with you and for our internal record keeping. We will not provide your personal information to any third parties other than on a ‘need to know’ basis for these purposes.
13. WarrantyYou warrant and confirm that:
a) You are over 18 years of age; or are being supervised by an adult.
b) You are medically fit to participate in the Event; and
c) You have disclosed to us all allergies, medical, psychological or other
conditions which may affect your wellbeing during the Event or your ability
to participate fully in the Program.
14. ChildrenThe Event is designed for adults. There are no childminding facilities or family accommodation options. If you are over 15 years of age and wish to participate or if you wish to bring an infant or young child with you to the Event, please contact us to discuss options by emailing stacia@mamakinspender.love
15. Release You release us to the full extent permitted by law from and against any liability arising out of any injury, loss, damage or death caused to you or your property or any other person arising from or in connection with your participation in the Event whether such injury, loss, damage or death is caused directly or indirectly by our negligence, breach of contract or any way whatsoever. You agree to indemnify us from all claims, damages, losses, injuries and expenses arising out of or resulting from your participation in the Event.
16. JurisdictionThis agreement is governed by the laws of the State of Victoria and the State of Western Australia. You submit to the jurisdiction of the Courts of that State.
We reserve the right to alter these terms and conditions at any time without notice.
If you choose to camp at the Event site rather than stay in the dormitory
accommodation, you must provide appropriate equipment and do so at your own risk, understanding that this involves risks such as adverse weather, insect bites and snakes.
